What It Is
User management takes place in the Admin Panel in the Users tab. This is where Administrators and Team Leads invite new members, manage existing accounts, and keep an eye on onboarding progress. Administrators also assign roles here and maintain the organization’s custom roles. The top of the tab shows onboarding status at a glance: invited users, completed registrations, pending invites, and the completion rate.-1.png)
Inviting and Managing Users
Add users
Add User invites new members by email address. Invited users appear under Pending Invites until they accept the invitation.
Remind
For pending invites, a reminder can be triggered so invited users complete their onboarding.
Maintain accounts
Existing accounts can be edited, for example role or team membership. The user list is searchable and filterable by role.
Remove
Accounts that are no longer needed are deleted. Recently deleted users remain visible under Recently Deleted.
Adding, reminding, and deleting users can be done by both Administrators and Team Leads. Assigning roles and managing custom roles is reserved for Administrators.
Assigning Roles
Every user receives one of the three system roles: User (default), Team Lead, or Admin. In addition, Administrators can assign a custom role of the organization to a user. The current role is visible in the Role column of the user list. Details on the roles and their permissions are covered in Roles and Permissions.Managing Custom Roles
Below the user list sits the Custom Roles section. It lists all existing roles of the organization and allows maintaining them.1
Open Create New Role
The Create New Role button opens the dialog for creating a new role.

Pick a name
A clear, descriptive role name makes assignment easier later on.

Enable permissions
Each permission (Analytics & Metrics, Manage Users, Manage Teams, Manage Integrations, Community Feed Access, Company Branding, Token Limits) is enabled individually with a toggle.

Create and assign the role
After Create Role, the role appears in the list and can be assigned to users. Existing custom roles can be edited or deleted.
Tips and Best Practices
- Assign new users to a team right when inviting them. This keeps budgets and analytics clean from the start.
- Use the reminder function before deleting and recreating a pending invite.
- Hand out the Admin role sparingly. Team management is covered by the Team Lead role, special cases by a custom role.
- Check the Recently Deleted list before recreating a seemingly missing account.

Check whether the invitation is still pending under Pending Invites and send a reminder if needed. The user must follow the link from the invitation email.
